City Clerk
Council Correspondence

Mail is directed to Council through the Clerks' Office. This is done daily and a report is either requested from another department or referred directly to the Council Agenda. The Clerk is the official document and recordkeeper for the municipality and is responsible for maintaining all records according to a Record Retention Schedule. General correspondence is normally kept for seven years then destroyed. Most information related to the City is kept permanently and stored. Correspondence should be addressed to:

Vital Statistics

While this information is considered strictly confidential, Birth Registrations and Death Statements are received by the Clerk's Office which is the Division Registrar for North Bay. The Division Registrar is responsible for ensuring all forms are properly completed; the information is recorded and then forwarded to the Registrar-General's Office in Thunder Bay. Copies of birth and death certificates are issued only from the Registrar General's Office. Applications for these can be obtained at City Hall.

By-Law Information

Requests for copies of by-laws or if there is a by-law concerning a particular matter, can be obtained through the Clerk's Office or in the City Hall section of the web site. Click here for by-laws.

Council Meetings

Council meetings are held bi-weekly in the Council Chambers, City Hall, 200 McIntyre Street East at 7:00 p.m., Monday evenings. If the meeting date is a statutory holiday, the meeting is held the next day. Agendas are prepared for the meeting and contain the correspondence being dealt with at the meeting, draft resolutions relating to the correspondence being dealt with at the meeting, by-laws for readings, and committee reports for adoption.

Council in Committee meetings are held bi-weekly on the opposite Monday from the regular Council meetings. The Chairs of the Committees determine what matters the committee will be dealing with and then an agenda is prepared.

A Council Agenda listing the items to be dealt with at that evening's meetings is available free of charge and can be picked up in the Council Chambers the evening of the meeting. The agenda listing is also available on the web site.

Municipal Elections

The City Clerk is the Returning Officer for the Municipal Elections which are held every four years. The next election is in 2014.
